On 25 May 2018 the General Data Protection Regulation (GDPR) will become enforceable. In practice, the regulation concerns every company located in the European Union area or conducting business within the European Union. The regulation details the obligations of controllers and processors of records containing personal data on the one hand, and details certain rights of the persons, whose data is contained in these records, on the other hand.

It has certainly been clear to us before the GDPR will come into effect, that personal data have to be handled responsibly and reliably.  The protection of our customers’ personal data is an undisputed precondition of our operations.

MoveRoll Oy process personal data of customers on legal grounds. We save personal data, so that we can fulfill our obligation to procure and deliver goods and services.  By saving personal data, we can send invoices to the correct receiver. The same applies to offers, quotations, delivery lists, and contracts, which we can only send to the correct receiver, if we save the according personal data. With help of records containing personal data, we can also communicate with our partners, customers, end customers, business contacts and potential customers and send important information about new developments; new products; pulp and paper fairs; new projects and orders, etc.

When you visit our website, we do collect personally identifiable information that you voluntary provide it to us by e.g. filling in a contact form or newsletter registration form.  In order to optimize our website and services, we also use cookies. We are committed to protecting your privacy. However, data transmissions via the internet are not 100% secure and could unlawfully be intercepted by others. Hence, ultimately you are responsible for submitting personal information to MoveRoll. By providing personal information via this website to MoveRoll you acknowledge and agree to the collection and use as described in this privacy policy.

However, just like every company, we do have records containing personal data. In our records containing personal data, we only collect data in connection with our business relationships with partners, customers, end customers, business contacts and potential customers. The collected data include for example:

  • Your name
  • The name of the company your are working for
  • The address of the company you are working for
  • The invoicing address of the company you are working for
  • Your email address
  • Your IP-address
  • Your landline phone number
  • Your mobile phone number
  • For customers with whom we have signed contracts, we also collect the beginning and end dates of these contracts.

We also process personal data for marketing, sales, and development purposes. This helps us to make our products and services even more customer-friendly. Saving personal data for sales and development purposes is ultimately also necessary to respond to inquiries, product development suggestions etc.

 

We use MailChimp for sending marketing communication and other bulk emails. MailChimp is an email marketing service provided by The Rocket Science Group, LLC, 675 Ponce de Leon Ave NE, Suite 5000, Atlanta, GA 30318, USA. MailChimp and their servers are located in the USA and are certified with the EU-U.S. Privacy Shield Framework and the Swiss-U.S. Privacy Shield Framework. Furthermore, we have signed a data processing agreement with MailChimp.

There is no third-party tracking in messages we send through MailChimp besides MailChimp’s own analytics, which may aggregate how many subscribers open a message or click the links inside.

The newsletter sign-up form on our website contains options that allow you to choose what kind of marketing communication you would like to receive. Additionally, each email we send via MailChimp contains an easily visible unsubscribe link in the footer.

We collect personal data in our legitimate daily business activities. Sources of the personal data we collect from our partners, customers, end  customers, business contacts and potential customers may regularly stem from the partners, customers, end customers, business contacts and potential customers themselves, their employers, or publicly available records.

Source of the MoveRoll Newsletter mailing list is our database of existing and prospective customers, partners, end customers and business contacts. We have collected the personal data contained in our mailing list (first name, last name, email address) e.g. from filled in newsletter subscription forms and our other legitimate business activities; for example during our visits to existing and prospective customers, partners, business contacts and potential customers, from business cards we received from visitors to our booth at trade shows, or from our other online and offline marketing activities.

As mentioned above, we use MailChimp for sending marketing communication and other bulk communication. This means that the personal data contained in our mailing list is stored outside the European Union. The signed data processing agreement with MailChimp and their certification with the EU-US Privacy Shield Framework and the Swiss-US Privacy Shield Framework, ensure that your personal data is handled as confidentially and responsibly as possible.

Inquiries you send to us via the contact form on our website are directly sent to our info@moveroll.fi email address. Similarly, emails you send to individual contact persons at MoveRoll are sent to their company emails. Our email provider is Finnish company Zoner Oy. The emails are temporarily stored on Zoner’s servers and then downloaded to our computers. This means that we do store some of your personal data on our computers in Finland. This personal data is for example needed to answer inquiries via email, to send offers via email, to send quotations via email, and if needed also to send invoices via email.

Some of your personal data is stored on paper. This includes information printed on business cards that you provide us with on pulp and paper fairs or during mutual visits. Personal data can also be found on paper copies of invoices, offers, quotations, packing lists, contracts etc.

Finally do back up the data of our computers to an external disc. The disc is securely located in our facilities in Finland, furthermore also the server is located in Finland.

 

Controller of the data is MoveRoll Oy. Personal data are processed by MoveRoll Oy. In addition, personal data are also processed by employees of Finnish company Sovellusmestarit Oy. Both companies are located at the same address, and both companies are owned by MoveRoll’s CEO Mikko Rantanen.

Sometimes also our external accounting company Pomoton Oy and auditor, Peter Palmu, have access to personal data, when they are conducting their legitimate business. In addition, employees of Netello Oy, a Finnish company that helps us optimizing our SEO, has access to certain personal data, e.g. data in Google Analytics reports, when they conduct their legitimate business in helping us optimizing our website, so that is becomes even more user-friendly.

 

We are using appropriate technical, and company internal safety measures to ensure that all the personal data we control are protected against loss, abuse, and unauthorized use.

According to the General Data Protection Regulation, you have the right to object the processing of your data on legal grounds. The immediate removal of your contact information may however lead to situations where we are not able to deliver services or products as agreed.

You have the right to:

  • inquire which personal data we have saved about you
  • ask that we correct wrong or missing personal data
  • ask that we remove your personal data
